Saying no to a job feels awkward. You don’t want to burn a bridge. You also don’t want to leave them hanging. A good rejection letter does three things: thanks them, says no clearly, and keeps the door open.
Here’s the exact way to do it in 2026 — whether it’s email or a formal letter.
Step 1: Decide Fast, Then Write
Don’t ghost. If you know it’s a no, reply within 24–48 hours. Recruiters are holding the role for you. The faster you decline, the faster they can hire someone else. That goodwill matters. Industries in Nigeria are small. That HR manager today might be at your dream company tomorrow.
Make your decision first. Don’t use the rejection letter to negotiate unless you mean it. If you want a counter-offer, say that directly. If you’re out, be out.
Step 2: Pick The Right Channel
Email is standard. Reply to the person who sent the offer — usually the hiring manager or HR. Use a clear subject line: “Re: Offer for [Job Title] – [Your Name]”. If they sent a physical letter, match it with a PDF letter attached to an email.
Never reject by WhatsApp voice note or by ignoring calls. Write it.
Step 3: Use This 4-Part Structure
You don’t need long grammar. Four short paragraphs work every time.
Thank them sincerely. Mention the specific role and the time they invested.
Say no clearly. Use the word “decline” or “respectfully withdraw.” Don’t say “I think” or “maybe.”
Give a brief reason (optional but helpful). One line is enough. “I’ve accepted another role” or “After careful thought, it’s not the right fit for my career direction.” You don’t owe them your salary details.
End warm. Wish them well. Offer to stay in touch.
That’s it. No apology essay needed.
Step 4: Keep The Tone Professional, Not Cold
Be grateful, not guilty. You earned the offer. They chose you. Thank them for that. Don’t over-explain. Don’t criticize their pay, their office, or their interview process. Even if the offer was ₦120k for a Lagos Island role with no transport, just say “not aligned with my current needs.”
Sample 1: The Standard Polite Decline (Most Common)
Subject: Re: Offer for Product Designer – Tunde Adebayo
Dear Ms. Chukwuma,
Thank you very much for offering me the Product Designer position at Paystack. I truly appreciate the time you and the team spent with me during the interviews.
After careful consideration, I have decided to respectfully decline the offer. I have accepted another opportunity that aligns more closely with my long-term goals.
I was impressed by your team’s vision and I hope we can stay in touch. Thank you again for your kindness and consideration.
Best regards,
Tunde Adebayo

Why it works: grateful, clear, one-line reason, leaves door open.
Sample 2: Declining Because Of Salary
You can be honest without being rude.
Dear Mr. Okoro,
Thank you for offering me the role of Senior Accountant at Greenlife Ltd. I enjoyed learning about your expansion plans.
After reviewing the full compensation package, I must decline the offer, as it is below what I require to make a move at this time. This was a difficult decision.
I have great respect for your company and would welcome the chance to be considered for future roles that may be a better fit.
Sincerely,
Amaka Nwosu
Tip: Don’t name the figure unless you want a counter. If you do want them to counter, change the middle to: “I would need a base closer to ₦650,000 to accept. If that is possible, I’d be happy to reconsider.”
Sample 3: Declining After Accepting Another Offer
This happens a lot in 2026 with multiple processes running.
Dear Dr. Bello,
Thank you for the offer for the Business Analyst role at MainOne. I am honored by your confidence in me.
I am writing to withdraw my application, as I accepted an offer from another organization earlier this week. The timing simply did not align.
I hope our paths cross again. Thank you for the opportunity and for the very professional recruitment process.
Warm regards,
Ifeanyi Eze
Sample 4: Declining But Wanting To Keep The Relationship (Startup / Network Role)
Dear Aisha,
I can’t thank you enough for the offer to join your team as Community Manager. Talking with you confirmed what I already knew — you’re building something special.
Right now, I need to stay in my current role for family reasons tied to relocation. So I must decline. It hurts to say no.
Please keep me in mind for remote roles in future. I’d love to collaborate, even as a volunteer for your next event.
With gratitude,
Zainab
Sample 5: Formal Letter Format (For Government / Corporate File)
[Your Name]

Dear Sir/Madam,
RE: OFFER OF EMPLOYMENT AS GRADUATE TRAINEE
I write to express my sincere appreciation for your offer of employment dated 3 July 2026.
After due consideration, I regret to inform you that I will not be accepting the offer. This decision is based on personal career direction at this time.
I thank you for the opportunity and wish the bank continued success.
Yours faithfully,
David Ojo[Signature]
What Not To Do
Don’t disappear. Ghosting is remembered.
Don’t lie. “My mother is sick” when you took a competitor’s job will leak.
Don’t send a long list of complaints. Save feedback for an exit interview, not a rejection.
Don’t accept and then reject a week later unless it’s an emergency. That’s how you get blacklisted.
Should You Give A Reason?
Yes, but keep it to 7–12 words. Recruiters appreciate context. Good reasons: “accepted another role,” “role is not the right seniority,” “need to remain in Abuja for family,” “compensation misalignment.” Bad reasons: long stories, blaming their team, saying you got a better offer and naming the salary.
What Happens After You Send It
Most HR teams reply with “thanks for letting us know.” Some will ask if anything could change your mind. Decide beforehand if you’re open to that. If you’re not, reply: “I appreciate you asking, but my decision is final.”
Save a copy of your email. You may need it later to show professionalism.

Conclusion
Rejecting well is a career skill. People remember how you said no more than why. Do it promptly, kindly, and clearly, and that hiring manager will still take your call next year.
